What Are Pi / Ci / Pl? Trade Documents Explained in One Article

New exporters often get tangled in three abbreviations: Pi, Ci and Pl. They are the three most important documents in an export transaction — quoting, settlement and shipping all depend on them. This article explains in one pass: what each is, when to use it, what it must contain, and where beginners most often go wrong.

Pi: the most underestimated document

Beginners treat the Pi as "just a quote" — a screenshot will do. But for the buyer, the Pi is often the basis for requesting payment from their company, buying foreign exchange from their bank, or applying for an import license. A proper Pi should include: complete buyer/seller information, product model and description, unit and total price, trade terms (FOB/CIF etc.), payment method (T/T, L/C etc.), lead time, quote validity, and bank details.

One warning: always state a validity period (e.g. 30 days). When raw-material prices move, a Pi without validity locks you into an expired price.

Ci and Pl: the shipping combo

When goods ship, Ci and Pl go together to the customer and the freight forwarder. At customs, officers check whether the values on the Ci and the cartons and weights on the Pl match the actual cargo. Any inconsistency — say the packing list says 100 cartons but 98 ship — can trigger inspection, fines or even seizure.
