The Inquiry Response Guide: Why Speed Wins More Orders

When a buyer wants to purchase, they usually message three to five suppliers on WhatsApp at the same time. At this stage price rarely decides — that comes later in negotiation. What decides is who replies first with something professional and clear. Psychology calls it the primacy effect; in exporting it means the supplier who gets there first naturally leads the conversation.

First, know when inquiries actually arrive

Using Beijing time (UTC+8) as reference, active hours for major markets look roughly like this:

MarketBuyer active hours (Beijing time)Where you are
Europe15:00 – 24:00Afternoon in office, off by evening
Middle East13:00 – 22:00Mostly online
South America (Brazil etc.)19:00 – 04:00 next dayOff work
North America22:00 – 12:00 next dayMiddle of the night + busy morning
Southeast Asia10:00 – 18:00Online during work hours

See the problem? The highest-value buyers in Europe and the Americas are active mostly during your off hours. That's why so many big orders die with a "replied the next morning".

Designing your response rhythm

Beat one: first response (target: within 1 minute)

The first reply doesn't need a quote — it needs to catch: confirm receipt + understand the need + identify yourself. "Hi Mohammed, thanks for reaching out! This is Lily from XXX. May I know the model and quantity you need?" Let the buyer know a real, professional human is on the other side — that's half the win.

Beat two: confirm requirements (same day)

Clarify model, quantity, application and destination port, and send the matching product files right away. The faster the files arrive, the stronger your "professional" label.

Beat three: quote (within the promised time)

Quoting is about "fast but not wrong". Send a formal proforma invoice (Pi) — price terms, validity, payment method included — and the buyer sees a process, not a number shouted across the table.

Beat four: follow up (within 3 days)

Buyers going quiet after a quote is normal. Follow up every two or three days with a fresh angle: new orders shipped, freight offers, alternative models. After three tries, slow down but don't delete — export decision cycles are measured in months.

What about nights and holidays?

No human is online 24/7 — which is exactly where AI auto-answering earns its keep. While you sleep, AI catches the inquiry, introduces products, answers FAQs and sends files, keeping the buyer engaged until you're back; anything needing real negotiation gets flagged for your morning. It's like hiring an assistant who never sleeps — and doesn't take a desk.

Holidays are the same story. The weeks around Chinese New Year are peak buying season overseas: competitors lose orders to their out-of-office reply while yours keep getting answered. That's the gap.
